Team Assistant (6-Month Contract)
Arden White, a leading recruitment agency in the aerospace industry, is delighted to be recruiting on behalf of our prestigious client for the role of Team Assistant. This is a fantastic opportunity to provide essential administrative support to the Management teams contributing to the seamless operation of the management team.

Monday – Friday 8:30am – 5:00pm
Salary: £24,000 (Pro Rata)

Role Overview:
As the Team Assistant, your role is vital in ensuring the smooth and efficient functioning of management operations, helping the team to maintain safe, efficient, and cost-effective performance. You will be involved in a wide range of administrative tasks, helping the team stay organised and focused on delivering high-quality outcomes.

Key Responsibilities:

  • Organise and coordinate training requirements for personnel with both internal and external providers.
  • Maintain accurate records of timekeeping for the engineering and commercial teams.
  • Manage and maintain stock levels of workwear and PPE in collaboration with the Health, Safety & Environment Advisor.
  • Process purchase orders, requisitions, and vendor approval forms, ensuring accuracy and timeliness.
  • Handle diary scheduling and room bookings for internal and external meetings and events.
  • Manage the stock of office supplies, reordering as necessary to ensure the smooth running of the office.
  • Ensure timely and accurate processing of invoices.
  • Manage incoming post, phone calls, and general correspondence.
  • Process visitor forms for all personnel and visitors, and manage access within the facility.
  • Act as a point of contact, liaising with various departments at all levels across the company.
  • Provide additional administrative support to the MFTS team as required.

What We’re Looking For:
Essentials:

  • GCSEs, including Maths and English.
  • European Computer Driving Licence (ECDL).
  • Recognised qualification in Business Administration
  • A proactive approach with a commitment to completing tasks on time.
  • Ability to handle sensitive information with confidentiality.
  • Maintain high levels of responsiveness and support within the team.
  • A strong command of Microsoft Office (Word, Excel, Outlook) and SharePoint is essential.
  • Deliver work with attention to detail and precision.
  • Understanding of office procedures and the ability to work efficiently with technical documentation.
  • Excellent verbal and written communication skills, with a friendly and professional approach to customer service.
  • Ability to organise, prioritise, and manage tasks effectively to meet tight deadlines.
  • Good standard of numeracy for reporting and administrative writing.

Desirable Skills:

  • Basic understanding of accounting practices.
  • Knowledge of the Google Workspace suite of business applications.
  • Experience using SAP database software.
